For course & cohort creators

An accountant for online course creators who understands launch math.

A course business does not earn like a channel. Revenue arrives in violent bursts, refund windows stay open after the cash lands, affiliates take a cut you still have to report, and digital products drag you into sales tax rules that were not written with you in mind.

The mechanics

Launch revenue is the most mismanaged money in the creator economy.

Not because creators are careless, but because a launch breaks every assumption that ordinary monthly bookkeeping is built on.

The cash arrives in a week. The tax does not.

A launch can put a year of income through in five days, and the instinct is to treat that balance as spendable. It is not — a meaningful share belongs to the IRS and your state, and it is owed on a quarterly schedule that has nothing to do with when you launched. We size the set-aside before the cart opens, not after it closes.

Refund windows mean December revenue is not final

A 30-day guarantee on a December launch means January refunds against revenue you already counted. If your books do not carry a reserve for that, your year-end numbers are optimistic in a way that shows up as a surprise. The same logic applies to chargebacks and failed payment-plan installments.

Affiliates and JV partners create obligations

Paying affiliates 40% of a big launch is a large deduction and a large paperwork duty. W-9s before payment, 1099-NECs at year end for anyone over the threshold. It is also gross-versus-net again: the full sale is your revenue and the commission is your expense, even when the cart platform only ever shows you the net.

Digital products and sales tax

Whether a course is taxable varies by state and often turns on details like whether it is live or recorded, and whether access is bundled with community or coaching. Add economic nexus thresholds and this becomes a genuine multi-state question once you are selling at scale. It is the single most ignored exposure in the course business.

Does this sound familiar?

You built something that works. The system underneath it has not caught up.

Your launch cleared six figures in a week and you have no idea what portion is actually yours.
Payment plans mean revenue you booked in March is still arriving in November, and defaulting.
You pay affiliates a large share of every launch and have never issued a 1099.
You have never looked at whether your course is subject to sales tax anywhere.
Refunds and chargebacks get netted somewhere in your cart platform and never reach your books.
Your course, your coaching, and your membership all run through one account and you cannot tell which one actually makes money.

Trent has been a great partner over the years as I've been building my financial planning practice. Not only for me personally, but also with clients when they need a new CPA or have a complicated situation like buying or selling investments, such as rental properties or a concentrated stock sale. He's always great about providing options so myself and my clients can make informed decisions. Trent is also proactive with tax planning and analysis — that can be hard to find, but is extremely valuable especially when it comes to complex situations.

Frequently asked

Course business questions we get every week.

Possibly, and it depends on where your buyers are and what exactly you are selling. States treat digital products inconsistently, and the answer can turn on whether the course is live or pre-recorded and whether access is bundled with coaching or a community. Economic nexus thresholds mean a large launch can create obligations in states you have never visited. This is worth a real review once you are selling at volume — it is the exposure course creators most reliably discover late.
Move the tax reserve out of your operating account the same week, before the number starts feeling like yours. Then re-forecast the full year immediately, because your quarterly estimates were built on assumptions that no longer hold and the next payment is now materially wrong. Launches are also the single best moment to revisit entity structure and retirement contributions, while the money is still on the table.
They reduce your revenue, but the timing matters more than the amount. A refund issued in January against a December sale lands in a different tax year than the income it reverses, which can overstate one year and understate the next. If you run guarantees, your books should carry a refund reserve so your year-end picture reflects what you will actually keep.
